Office Manager
Duties, Skills and Responsibilities will include the following:
- Office Manager must have several years of legal experience in a law firm setting, preferably in a firm in which Office Manager held a "variety of hats", including bookkeeping tasks, file management and client relations. This position is for a hybrid who likes challenges and is looking for a one of a kind experience in helping a law firm which has already doubled in size in last year to do it again, real soon.
- Office Manager should possess "great" organization skills, a firm understanding of computer software, including, Excel, Outlook and Quickbooks, namely.
- Office Manager should understand and be able to assist in making sure the bottom line of the office is achieved. Bottom line is timely delivery of documents, 100% accuracy, great customer service, all client bills FULLY PAID.
- In conjunction with the Executive Director and the Office Adminstrator, the Office Manager will assist in overseeing our nine (9) person staff and insuring the successful preparation, production, tracking and delivery of legal documents on short term deadlines. On average, over 300 legal related documents are prepared and created by this law firm every month for clients.
- Must be able assist in the research of past client matters, quickly and diligently, and provide feedback to clients, in simple easy to understand terminology. Research may include preparing compliance documents for various entities formed on behalf of our over 1,000 clients.
- This law firm specializes in entity formation, non profit formation, trademarks and some other business related legal matters.
- Must be able to deal effectively with clients "wanting" services but not yet sure. Must follow up with clients in a personable way. These clients on average may run from 1-5 daily.
- There is one (1) monthly report to the Executive Director and one (1) weekly meeting with all staff members.
- Ideal candidate is one who will relish and love (and help improve and document our Standard Operating Procedure Manual (SOP), and, holding others accountable to SOP.
- Company objectives are timely delivery of legal documents and 100% accuracy.
- Office Manager will still be expected to participate in some of the law firm's daily tasks which include but are not limited to answering multiple phone calls at any one time (dealing with answering "questions" from "prospective clients" or handling "client complaints" or existing client "status requests"). Prospective client calls average from 4-8 per day. Existing clients seeking assistance average 3-6 per day. Other "daily tasks" include invoicing clients, getting payment, setting up apts., explaining our fees and the "process of incorporation" to new clients, taking down client information for the purpose of creating legal documents, etc.`
